WEBSITE PRIVACY POLICY

Last updated: September 18, 2026

Julie Cox, LCSW, PLLC (“the Practice,” “I,” “me,” or “my”) respects your privacy. This Website Privacy Policy explains how information may be collected, used, maintained, and disclosed when you visit www.juliecox.org (“the Website”), submit a contact form, subscribe to email communications, download a resource, or otherwise interact with the Website.

By using the Website, you acknowledge the practices described in this Website Privacy Policy. If you do not agree with this policy, please do not use the Website or submit personal information through it.

1. Relationship to the HIPAA Notice of Privacy Practices

This Website Privacy Policy applies to information collected through the public Website.

If you become a psychotherapy client, protected health information created or received in connection with your treatment is handled in accordance with applicable federal and state privacy laws and the Practice’s HIPAA Notice of Privacy Practices.

The HIPAA Notice of Privacy Practices is separate from this Website Privacy Policy and is available through a link on the Website. To the extent that information is protected health information governed by HIPAA or another applicable healthcare privacy law, the HIPAA Notice of Privacy Practices and applicable law will control.

Submitting a contact form, requesting a consultation, subscribing to an email list, downloading a resource, or visiting the Website does not establish a therapist-client relationship. A therapist-client relationship is established only after the Practice has agreed to provide services and the required intake and consent process has been completed.

  • Request a free consultation.

  • Subscribe to an email list or newsletter.

3. Contact Forms and Sensitive Information

When you select “Schedule a Free Consultation,” you are directed to a Website contact form. Information submitted through this form does not automatically enter Sessions Health.

Please limit contact-form messages to the basic information needed to request a consultation. Do not use the Website contact form to provide detailed clinical information, psychotherapy records, medical records, Social Security numbers, financial information, or other highly sensitive information.

The Website contact form, ordinary email, and newsletter systems should not be used for emergencies or urgent clinical needs. They are not continuously monitored.

If you are experiencing a mental-health emergency, call 911, call or text 988, or go to the nearest emergency department. Current clients should follow the emergency and communication procedures provided in their intake documents.

5. Analytics

The Website uses Squarespace Analytics and Google Analytics to obtain general information about Website traffic and visitor activity.

These services may use cookies or similar technologies to collect information about Website use. Analytics information may include pages viewed, approximate geographic location, device and browser information, referral sources, and general interactions with Website content.

The Practice uses this information to understand Website performance, identify technical issues, and improve Website content and accessibility.

Nonessential analytics cookies are restricted unless a visitor chooses to permit them through the Website’s cookie-preference tools.

Google’s collection and use of information is governed by Google’s own privacy policies and terms. Visitors may use the Website’s cookie-preference tools, their browser settings, or Google’s available opt-out tools to limit analytics collection.

6. Cookies and Similar Technologies

The Website uses essential cookies and may use optional analytics cookies or similar technologies.

Essential cookies are necessary for the Website to operate properly and securely. These cookies may support functions such as Website navigation, security, and remembering a visitor’s cookie preferences.

With a visitor’s permission, analytics cookies may be used to help the Practice understand how visitors find and use the Website. Analytics information may include pages viewed, approximate geographic location, device and browser information, referral sources, and general interactions with Website content.

When you visit the Website, the cookie banner allows you to accept, decline, or manage nonessential cookies. Nonessential cookies are restricted unless you choose to permit them.

The Website also provides a Cookie Preferences control that allows visitors to review or change their cookie preferences after making an initial selection.

Your cookie selection may be stored so that the Website can remember your preference. You may also control or delete cookies through your browser settings. Disabling essential cookies through your browser may affect how the Website functions.

The Practice does not use cookies for behavioral advertising and does not use Meta Pixel, Google Ads conversion tracking, or other advertising pixels.

7. Email Communications and MailerLite

The Practice uses MailerLite to manage email subscriptions and distribute newsletters, educational materials, requested resources, and practice updates.

When you subscribe or request a resource, information such as your name, email address, subscription source, areas of interest, email preferences, and interactions with emails may be processed by MailerLite on the Practice’s behalf.

The Practice may use email-interaction information, such as whether an email was opened or a link was selected, to understand which communications and resources are useful to subscribers.

You may unsubscribe from marketing or educational emails at any time by selecting the “unsubscribe” link included at the bottom of an email. You may also update your stated areas of interest or other available email preferences.

Unsubscribing from general educational or marketing communications does not prevent the Practice from sending necessary administrative, billing, legal, or treatment-related communications to established clients when appropriate.

Email newsletters, downloadable resources, blog posts, and other Website materials are provided for general educational and informational purposes. They do not constitute psychotherapy, medical advice, diagnosis, treatment, or an emergency service.

  • Comply with applicable legal, regulatory, ethical, or professional obligations.

  • Establish, exercise, or defend legal rights.

The Practice will not use information submitted through the public Website to provide psychotherapy unless and until an appropriate therapist-client relationship has been established.

9. How Information May Be Shared

The Practice does not sell personal information.

  • Squarespace, which hosts and operates the Website, Website analytics, cookie-preference tools, and contact forms.

Nothing in this section changes or reduces the additional legal protections that may apply to protected health information, psychotherapy records, or other confidential clinical information.

10. Third-Party Websites and Embedded Content

The Website may contain links to third-party websites, professional directories, social-media platforms, articles, videos, scheduling resources, or other services that the Practice does not control.

Selecting a third-party link may allow that third party to collect information according to its own privacy practices. Embedded content from another website may function as if the visitor had visited that third-party website directly.

The Practice is not responsible for the privacy practices, security, availability, accuracy, or content of third-party websites or services. Visitors should review the privacy policy of any third-party service they use.

11. Social Media

The Website may include links to the Practice’s professional social-media pages. Social-media platforms may collect information about visitors who select those links or interact with Practice content on those platforms.

Information posted publicly or sent through social media may not be private. Do not use social media to communicate confidential clinical information, request emergency assistance, or obtain treatment-related guidance.

Following, viewing, commenting on, or otherwise interacting with a Practice social-media account does not establish a therapist-client relationship.

12. Data Retention

The Practice retains Website information only for as long as reasonably necessary for the purposes described in this policy. These purposes may include responding to inquiries, maintaining subscription records, providing requested resources, operating and securing the Website, meeting legal and professional obligations, resolving disputes, and maintaining appropriate business records.

Retention periods may vary based on:

  • The type of information.

  • The reason the information was collected.

  • The nature of the relationship with the individual.

  • Applicable legal or professional requirements.

  • The retention practices and settings of the service provider involved.

Information that becomes part of a client’s clinical or business record may be retained in accordance with applicable healthcare record-retention requirements and the Practice’s HIPAA Notice of Privacy Practices.

13. Data Security

The Practice uses reasonable administrative and technical safeguards intended to protect personal information. The Website is hosted by Squarespace, and information may also be processed by the third-party providers identified in this policy.

No website, electronic transmission, email system, or electronic storage method can be guaranteed to be completely secure. Visitors should use discretion and avoid submitting sensitive clinical, financial, medical, or identifying information through public Website forms or ordinary email.

If you are an established client and need to communicate sensitive information, use the communication method the Practice has designated for that purpose.

14. Children’s Privacy

The Website is intended for adults seeking information about the Practice’s services. It is not directed to children under 13, and the Practice does not knowingly use the Website to collect personal information directly from children under 13 without authorization from a parent or legal guardian.

A parent or legal guardian who believes that a child has submitted personal information through the Website should contact the Practice so that the information can be reviewed and, when appropriate, deleted.

This section concerns use of the public Website. It does not describe the consent, confidentiality, parental-access, or record-access requirements applicable when psychotherapy is provided to a minor.

15. Privacy Rights and Choices

Depending on where you reside, the nature of the information involved, and whether a particular privacy law applies, you may have rights concerning your personal information. These may include the right to:

  • Request access to certain personal information.

  • Request correction of inaccurate information.

  • Request deletion of certain information.

  • Request information about how certain information has been used or disclosed.

  • Withdraw consent when processing is based on consent.

  • Opt out of certain forms of data processing when applicable.

These rights are not absolute and may be subject to identity-verification requirements, legal exceptions, record-retention requirements, and laws governing healthcare, psychotherapy, professional, or business records.

To submit a privacy request, email info@juliecox.org with the subject line “Website Privacy Request.” Please do not include sensitive clinical information in the initial email.

The Practice may request information reasonably necessary to verify your identity, protect the privacy of others, and understand your request.

You may unsubscribe from general educational or marketing emails at any time by using the unsubscribe link included in those emails.

You may accept, decline, or manage nonessential cookies through the Website’s cookie banner. You may subsequently review or change your selection through the Website’s Cookie Preferences control.

The Practice does not sell personal information or use personal information for cross-context behavioral advertising.

16. Visitors Outside the United States

The Practice is based in the United States, and the Website is operated from the United States. If you access the Website from another country, information may be transferred to and processed in the United States or in other locations where the Practice’s service providers operate.

The availability of the Website outside the United States does not mean that psychotherapy services are available in every jurisdiction.

Psychotherapy services are offered only when the client is physically located in a jurisdiction where the Practice is legally authorized to provide services.

17. Changes to This Policy

This Website Privacy Policy may be updated periodically to reflect changes in the Website, service providers, privacy practices, or applicable legal requirements.

The revised policy will be posted on the Website with an updated “Last updated” date. Changes will become effective when the revised policy is posted unless otherwise required by law.

Visitors are encouraged to review this policy periodically.
